Privacy Policy

Wanna Learn More Network (WLMN) is the data controller for this website and for the services described below. You can contact us about anything in this policy at privacy@wlmn.org.

This policy covers everyone WLMN interacts with: website visitors, donors, volunteers and staff, people who contact us for direct support, and members of our online communities. Each section below tells you what we collect, why, and how long we keep it.

Information We Collect Through This Website

When you use this website, we collect the information you submit through our forms:

  • Contact form — your name, email address, your message, and a phone number and subject if you choose to provide them.
  • Volunteer application — your name, email address, phone number, the answers you provide in the application, and a record of the consent choices you make in it (including whether you agree to be contacted by text message).
  • Project Silhouette guide signup — your email address.
  • Donations — handled by Givebutter on Givebutter's own site, not on ours. See "Donors" below.

Along with each volunteer application and guide signup, we also record basic technical details your browser sends with the submission — your browser type (user agent) and the page that linked you to the form — plus, for the volunteer application, how long the form took to complete and which steps you went through. We use these only to troubleshoot submission problems and understand where requests come from.

We do not collect analytics about your browsing on this site. We use no advertising pixels, no Meta Pixel, and no third-party tracking. See our Cookie Policy for the full picture — in short, the only cookies this site sets are the strictly necessary sign-in cookies used by our own staff and administrators.

Why We Collect This Information

  • To respond to your inquiries through the contact form
  • To process volunteer applications and stay in touch about your application
  • To send you the resources you requested

Legal Basis

  • Where a form asks for your explicit consent (for example, the volunteer application's consent step), that consent is our basis for the processing it covers.
  • For responding to inquiries and form submissions generally, we rely on our legitimate interest in answering the people who contact us and operating the organization.

WLMN voluntarily applies GDPR-level standards as its protective floor for everyone, regardless of where you live.

How Long We Keep Website Submissions

Form submissions (contact form, guide signups) are kept for 2 years from submission, and deleted sooner if you ask. Volunteer applications that do not lead to an active volunteer role are treated the same way — deleted 2 years after submission, or sooner on request. Submissions that lead to volunteering or direct support follow the retention periods in their sections below.

Cookies & Tracking

This site does not track you. The only cookies we set are strictly necessary authentication cookies, created when a WLMN staff member or administrator signs in to manage the site. If you simply browse, we set no analytics, advertising, or tracking cookies, and we respect Do Not Track and Global Privacy Control signals by default — there is nothing to suppress.

If we ever introduce analytics, we will update this policy and our Cookie Policy first, and we will ask for consent before placing any non-essential cookie.

Children's Privacy

This website's forms are intended for visitors aged 13 and over. If we learn that we have collected personal information from a child under 13 through this website without verifiable parental consent, we will delete it. If you believe a child has submitted personal information to us, contact privacy@wlmn.org.

WLMN's education and support work can involve young people. Direct support interactions with minors are handled under our safeguarding practices and the consent and mandatory-reporting commitments described in "Direct Support & Services" below — protecting a young person's safety always comes first.

Donors

When you donate through Givebutter, we receive:

  • Your name and email address
  • Your billing address
  • Donation amount

Your payment details (card numbers, bank information) are processed and stored by Givebutter — they never reach WLMN.

We use your information to process and acknowledge your donation, send tax receipts (required for charity purposes), and — only with your consent — send occasional updates about WLMN's work.

Public donor recognition: unless you donate anonymously, your first name and last initial (for example, "Sam R.") appear on the donor wall on our donate page, and a brief "Sam R. just supported WLMN!" notification may appear to visitors on the site shortly after your donation. Nothing else about you is shown. To stay off the wall entirely, use Givebutter's anonymous-donation option (or enter "Anonymous" as your first name) — or email privacy@wlmn.org and we'll remove you, no questions asked.

Legal basis: (1) legal obligation, to issue tax receipts and maintain charity records required by US 501(c)(3) law and, where applicable, UK/EU charity-gift documentation; and (2) legitimate interests, to acknowledge your donation and maintain donor relationships. Donations are gifts, not contracts.

Retention: we retain donor information for 7 years to comply with tax law and financial recordkeeping requirements.

Important: WLMN never sells, rents, or exchanges donor lists with third parties. You can donate anonymously on request — contact privacy@wlmn.org to arrange this.

Volunteers & Staff

During onboarding and your time with WLMN, we collect your full name, email, phone number, and address; your role and responsibilities; emergency contact information; and information you share during onboarding or training.

We use this to manage your volunteer or employment relationship, provide training and support, communicate with you about your role, and conduct background checks if required.

Legal basis: legitimate interests (for volunteers — recruitment, coordination, safeguarding, and volunteer safety) or contract (for paid staff, where an employment contract exists). Processing is limited to what is necessary to establish and manage your role.

Retention: for the duration of your involvement with WLMN, plus 3 years afterward, for legal and employment record purposes.

If you have access to personal data about the people we serve, you must sign WLMN's Confidentiality Agreement. This protects the privacy of the people we serve.

Direct Support & Services

When you contact WLMN for support, advocacy, or education (by email, phone, or in person), we collect your name, email, and phone number; the personal circumstances you share with us; and — only if you choose to share it — information about your gender identity, health, or family.

Legal basis: legitimate interests, to provide you with essential services and support; and your explicit consent, for any sensitive information you share.

Your consent for sensitive information: we will ask for your explicit permission before recording or using any sensitive information, including details about your gender identity, health or medical information, or personal crises and family situations. You can withdraw this consent at any time by contacting privacy@wlmn.org.

Safe communications: if email or phone isn't safe for you, let us know — we can arrange alternative contact methods.

Mandatory reporting: if we learn that a child or vulnerable person is at immediate risk of serious harm, we may be legally required to report this to local authorities to protect their safety. We will inform you of any such report where possible.

Retention: 5 years after your last contact with us, unless you ask us to delete it sooner.

Our Online Communities

WLMN runs communities on Facebook and Discord. Across all of them, WLMN records usernames and moderation actions (approvals, removals, bans) in a moderation database shared across our platforms, kept for 1 year for routine records. Each platform's own privacy policy governs what the platform itself does with your data.

Our Discord Server

On Discord, the information WLMN keeps is limited to the moderation records described above. Discord, Inc.'s privacy policy governs the platform itself — including your messages, which live on Discord's servers, not ours.

Our Facebook Groups

Everything you post in a WLMN Facebook group — messages, photos, reactions, replies — is visible to other group members and to the WLMN volunteers and staff who moderate the group.

WLMN collects limited information from groups, for moderation and community safety only:

  • Screenshots of approved, published posts, kept in our internal moderation workspace (posts declined during moderation are never captured). If you've shared something about yourself, we keep those details only when they help us moderate fairly and accessibly — for example, if you've told the group about communication needs or neurodivergence, moderators may keep that context so rule enforcement meets you where you are. Personal details that aren't relevant to moderation are blurred or removed from what we keep.
  • Usernames and moderation actions (approvals, removals, bans), recorded in a moderation database shared across WLMN platforms.
  • Nothing else. WLMN does not create case records about you from your group posts. If you choose to seek WLMN's direct support, we will ask for your explicit consent before recording anything in our case systems.

WLMN and Meta Platforms, Inc. are joint controllers of data in these groups. Meta's processing is governed by their Privacy Policy; WLMN's is governed by this policy.

Retention: routine moderation records, 1 year; case-related information (created only with your consent), 5 years.

Be mindful when sharing: consider your privacy before posting details about your gender identity, deadname, or transition journey; health conditions; family circumstances; or personal crises. To share something sensitive privately, message the moderators or email privacy@wlmn.org.

Your Rights

You have the right to:

  • Access your personal data
  • Correct any inaccurate information
  • Request deletion of your data
  • Restrict how we use your information
  • Receive your data in a portable format
  • Object to certain processing
  • Withdraw your consent at any time

To exercise any of these rights, contact privacy@wlmn.org. We'll respond within one month.

Complaints

If you have concerns about how we handle your data, you can lodge a complaint with the data protection authority that applies to you:

  • UK residents — the UK Information Commissioner's Office (ICO) at ico.org.uk or +44 303 123 1113
  • EU/EEA residents — your national data protection authority
  • US residents — your state Attorney General's consumer protection office

Who Has Access to Your Information

Within WLMN, only the staff and volunteers who need your information to do the work described above.

The service providers that process data collected through this website include:

  • Supabase — database and secure storage for form submissions and site content
  • Vercel — website hosting
  • Resend — transactional email (the confirmation you receive and the internal copy our team receives)
  • Google Workspace — the team inbox that receives a copy of each form submission, and from which we reply to you
  • Givebutter — donation processing, on Givebutter's own site

Our program and case work additionally uses:

  • Slack — the internal moderation workspace where approved-post screenshots are kept
  • Notion — case management records (created only with your consent)

WLMN never sells, rents, or exchanges your information with third parties.

International Data Transfers

Some of our service providers are based in the US. Where data protection law requires safeguards for these transfers, we rely on the Standard Contractual Clauses in our providers' data processing agreements. Our full Data Protection Policy is available on request via privacy@wlmn.org.

Changes to This Policy

When we change this policy, we update the version number and effective date shown at the top of this page. Substantive changes will be flagged on this page.
